94-second walkthrough

Watch the guest journey become an operating workflow.

See the guest flow, reception readiness view and staff handoff in under two minutes.

Guest journey

Four moments.
No unnecessary repeat.

A simple arrival sequence that keeps routine steps out of the lobby without removing staff choice.

01 · INVITE

Reach the guest before arrival

Send the agreed Passova arrival link through the hotel’s chosen communication route.

02 · COMPLETE

Collect only what is needed

Guest details, ETA, acknowledgements, registration and signature can happen before the desk.

03 · CONFIRM

Finish outstanding steps

Eligible guests can complete remaining items on mobile or through an optional lobby route.

04 · WELCOME

Hand the useful context to staff

The team sees completion and exceptions, then owns the actual hospitality moment.

Front-desk design

Clean for the guest.
Clear for the team.

Configure the guest flow, staff handoff and exception rules around the property’s existing process.

Before arrival

A short flow that earns completion.

Do not turn pre-arrival into a twenty-field web form. Passova is designed to expose only the steps the property actually needs for that arrival.

  • Mobile web flow, no forced download
  • Progressive, property-defined steps
  • Clear reason for sensitive requests
  • Escalation when self-service is not appropriate

At reception

Show what matters at a glance.

Instead of another inbox or dashboard full of noise, the useful output is straightforward: complete, incomplete, needs review, or hand to staff.

  • Arrival status and outstanding items
  • Exception-first operational view
  • Clear source-of-truth boundaries
  • Property-defined escalation rules

Performance

See where the arrival flow needs attention.

Track completion, drop-off and staff handoff so changes are based on what guests and teams actually do.

  • Eligible vs completed journeys
  • Step-level abandonment and exceptions
  • Front-desk feedback and operational notes
  • Expansion signals across properties

PMS & workflow architecture

Work beside the PMS.
Write back when validated.

The hotel’s PMS remains the long-term system of record. Passova manages the configured arrival workflow, with production write-back enabled through the agreed provider access, field mapping, testing and approval process.

References to PMS providers describe example operating environments and do not imply certification, endorsement or a commercial partnership. Integration scope is configured and approved per property or group.

Procurement & trust

Clear responsibilities before go-live.

Data scope, system boundaries, responsibilities and property-specific controls are agreed before production use.

Questions operators ask

Before deployment.

Straight answers to the questions hotel teams usually ask first.

No. Passova is designed as an arrival workflow layer around the hotel’s existing PMS and service model. The PMS remains the system of record and reception keeps control of exceptions, room readiness, judgement and the welcome.

The hotel pre-arrival route is designed to work without forcing an app download. The aim is to remove friction, not add another install step before a stay.

Potentially, where the PMS provider, property access and technical route support it. Production write-back is enabled only after API access, field mapping and testing are validated for that property.

We start by mapping the guest journey, required fields, staff handoff, PMS environment and responsibilities. Then we configure the first live scope and agree what success should look like.

They can be considered where the property requires them and the appropriate specialist providers, compliance responsibilities and integration paths are agreed. They are not assumed by default.
